How to Set Up an Appointment

1.

The first thing to do when you've decided to get counseling with The Relationship Center is to formulate your needs into a sentence that will help your counselor have an idea as to what sort of help you are looking for. (i.e. My husband and I are having marital difficulties and would like some help.)

2.

Next, have ready some basic information your counselor will need to make an appointment ~ The names and ages of all persons who will be seen by the counselor. ~ A phone number you can be reached at. ~ The name of the referral source where you first found our information (i.e. phonebook, sign, friend, internet web site, web search, radio) ~ Times of day and days of the week you would be available for an appointment (i.e. early afternoons on Mondays and Thursdays). ~ The credit or debit card you wish to reserve your appointment with.

3.

Call our counseling office at 417.763.3309. If you are transferred to voicemail we may be with a client or on another phone call. Leave a message with your name, phone number, and what services you're seeking. We will get back with you as soon as possible.

4.

After setting up an appointment click on the "Forms" tab below to find the necessary intake forms. Here you can print and complete the required forms to bring with you to your first appointment. If you are unable to print forms ahead of time, your counselor will provide them at the time of your appointment.

5.

If you need to cancel or reschedule your appointment, please do so by 5 pm the business day before your appointment so we can open up your reserved time for someone else in need.

If you fail to give notice of cancellation by 5 pm the business day before your schedueled appointment, your credit or debit card will be charged for the time you reserved.

Thank you for your courtesy in this matter.

Availability

Hours of Operation: Monday – Friday 9am - 9pm.
Saturday appointments are available on a case by case basis.

Generally your appointment can be scheduled the same week or next week following your initial call contingent on your availability. Urgent situations will be given priority and generally can be seen within 48 hours.

Standard Sessions are 45 minutes in duration and begin at the top (12:00) or bottom (12:30) of the hour.

Appointment Availability is influenced by a number of factors:

•  Therapist availability. While our hours of operation are 9am-9pm, Monday through Friday not all therapists are available during all hours of operation.

o   If you have a specific therapist you wish to schedule with, availability will depend on that therapist’s scheduled hours and open sessions.

o   Not all therapists specialize in the same areas. Availability of therapists with specializations in your area of need will vary.

•   Your availability. In general, evening sessions are in higher demand than morning or day time sessions. If you are only available in the evening it may be more difficult to schedule you. The more flexibility you have the quicker we can get you in.

Insurance Options

Can you file with my insurance?

Yes. We can submit a claim for reimbursement of service fees to your insurance on your behalf for a fee* or you may submit claims to your insurance company directly.

We cannot accept consignment for insurance benefits and have no control over how much your policy will cover or how covered claims will be applied based on your deductible.

You are responsible for paying fully for your services at the time of your appointment.

*In an effort to hold down costs associated with providing the most effective and helpful professional clinical services possible, TRC out sources our medical billing request to an independent medical biller. The fee for this service is passed along to those requesting this service.

If you would like us to submit insurance claims on your behalf please complete the following form.

    •   image   INSURANCE CLAIM PROCESSING REQUEST FORM

Are you in-network for my insurance?

The Relationship Center is a Christian counseling center focused on providing the highest quality care possible. As such we are unwilling to enter into any arrangement that might pressure us to compromise quality to increase insurance company profits. Thus, at present, we are not a part of any private insurance in-network panels.

That being said, outpatient psychotherapy is a covered benefit under many insurance plans and we do have a number of clients who receive out-of-network benefits for our services.

Some networks, recognizing our excellence in certain specialized areas, have agreed to reimburse our clients at in-network levels even though we are not on their in-network panels. This is solely at the discretion of your insurance provider.

Do you accept CTS Funds or Medicaid and Medicare insurances?

Yes. The Relationship Center has providers able to accept CTS Funds, Medicaid and Medicare insurances.

What to Expect

When you arrive for your first appointment...

• Park any where you would like.

• At our Springfield office, come into building 2131 and have a seat in the waiting area. Bathrooms are available through the waiting area door, down the hall and to your left.

• At our Branson office, come into Suite I and have a seat in the waiting area. Bathrooms are available through the waiting area door, down the hall and to your right.

• Your counselor will come out and greet you at the time of your appointment.

• You will be given a copy of our First Appointment Information to read through and initial at the bottom. While you read the first appointment information your counselor will review your forms. If any forms are missing they will be provided for you at this time.

At the beginning of your first counseling session...

• Your counselor will ask if you have questions regarding any of the paperwork / informed consent documents you were asked to read or fill out.

• At this point your counselor will inquire as to the details of what brings you to counseling. The first couple of sessions usually consist primarily of information gathering. It's important that your counselor thoroughly understand your circumstances and history so he or she can provide you with the best services possible.

At the end of your session...

• Your counselor will make a recommendation as to the frequency and duration (length of appointments) he or she believes will be most helpful. Weekly, one session (45 minutes) appointments are typical.

• Your counselor will ask if you would like to setup your next appointment. Having an idea of your schedule ahead of time is helpful at this point.

• Payment is due at the end of each appointment. If you are paying with check or cash you will tender payment to your counselor. Checks are payable to TRC. If paying with cash, note that your counselor is unable to make change, thus exact change is necessary. You may also make payment with Visa, Master Card, and American Express credit or debit cards by indicating such on the financial responsibility form.

• Your counselor will provide you with a receipt suitable for submission to your insurance company for reimbursement if you so desire. To simplify the claim submission process, TRC has contracted with independent medical billers to process claims on behalf of our clients. If you wish to take advantage of this service there is a $5 fee per submission. TRC has no control over the amount of reimbursement you may or may not receive.

• It is important that counseling sessions end on time and that you exit promptly from the counseling office to the waiting area. This is necessary for your counselor to prepare for the next clients with which the same care he or she prepared for your appointment.

Thank you for your courtesy in this matter.
